Use the same sequence each time
A repeatable route through the property makes changes easier to notice and report. Record the visit date, access condition and any visible difference from the previous visit.
- Confirm doors, windows and agreed access points are secure.
- Look for visible water ingress, leaks, damp or unusual odours.
- Check agreed utility indicators and note anything that has tripped or stopped.
- Collect or record post where that is part of the agreed scope.
- Take dated photographs and record the next action, if any.
Escalate evidence, not assumptions
If a visit reveals a concern, document what is visible and contact the owner before committing spend, except where a separately agreed emergency instruction applies. Technical diagnosis and regulated work remain with the relevant qualified professional.
Keep the record useful
A concise report should distinguish between what was observed, what was checked, what could not be checked and what requires a decision. That record helps an owner compare visits without implying that every hidden defect can be detected.
